NSWMSC Executive Election - Join the 2021 Executive Committee!

The New South Wales Medical Students’ Council (NSWMSC) is the peak representative body for over 5,800 medical students across all 9 medical schools in NSW and the ACT. 

NSWMSC aims to:
  • Promote cooperation and communication among medical schools in NSW and ACT;
  • Address and advocate for NSW and ACT medical students; and,
  • Protect the well-being of NSW and ACT medical students.

The executive team performs a multitude of functions key to the daily lives of medical students, thus requiring motivated, skilled and dedicated individuals to direct its course. All positions on the NSWMSC are open for election for 2021, you can apply for a maximum of 2 positions.

Each position has a specific application process, and will be outlined in the respective sections below. However, common to all applications are the following; 
  1. Personal statement (300 words for President, 250 words for all other positions) outlining interest and vision.

  • 2 pages maximum, 12pt font.
  • Prior experience and other factors influencing eligibility should be highlighted.
​    3.   Filling out the relevant online form with contact and other details.
    4.   It's strongly encouraged to speak to the current role holder or another member of the executive team before applying, contact details are below.

Attendance at NSWMSC Council Three (held on October 17th) is encouraged for all applicants.

Applications close at 11:59pm on the 10th of October. After applying, you will receive a confirmation email within due time.
If for any reason the personal statement and CV cannot be attached to the relevant point in the form, please email it (along with your name and position being applied for) to Rachel Tam at [email protected] by 11:59pm on the 10th of October. If there are multiple applications being submitted and the personal statement and CV cannot be attached to any of the forms, then each position and its relevant documents must be sent in a separate email. 

Applicants for the positions of President, Vice President Internal, Vice President External, Secretary, and Treasurer are required to be available at NSWMSC Council Three on the 17th of October [location: online] for a speech and interview to be elected by Council on the day. While it is strongly encouraged to attend online in real time, if you are unable to, please notify us and we will try our best to accommodate you. 

All applicants for Sponsorship Officer, Events Directors, International Students’ Representative,  Indigenous Students’ Representative, Publications Officer, IT Officer are encouraged to attend Council Three. Though Interviews will be held at a later date after Council Three; dates and details will be released after thereafter.

Election results are voted on by Council, each university will place a single vote per Executive position. In the case of a tie, the current Executive will place a deciding vote.

PRESIDENT

Roles and responsibilities:
  • Act as spokesperson for the organisation, representing the views of all medical students in NSW and the ACT on issues relevant to students.
  • Represent and advocate for NSW and the ACT medical student issues in interactions with stakeholders.
  • Determine, with input from the executive team, the direction and progress of the organisation for 2021 as well as ensure sustainability and envision growth in subsequent years. 
  • Chair all NSWMSC Executive Meetings and Councils.
  • Officially represent the Council at relevant forums, meetings and conferences throughout the year and proactively engage with relevant NSW health bodies (e.g. NSW Health, HETI, Medical School Deans) to pursue the interests of NSW medical students on a state-wide basis.
  • Retain a position as the AMA (NSW) Student Councillor, attend AMA (NSW) Council and various AMA (NSW) Committee meetings when possible, to represent medical student issues as well as relay information back to the Committee. 
  • Coordinate advocacy, inter-university collaboration and communication, alongside Vice President External and Secretary, with Medical Society Representatives (Council Members) for the organisation's constituent medical students.
  • Coordinate the Internship Applicant Support Group (on Facebook and via email), support internship support forum, and coordinate information between students and relevant bodies i.e. HETI alongside Vice President, Secretary, and IT Officer.
  • Work closely, alongside Vice President Internal, with all members of the NSWMSC executive to ensure that they are able to thrive in their corresponding portfolios and promote collaboration and engagement of others with these portfolios.
  • Update NSWMSC Council and inform them of developments, changes or news relating to NSWMSC, this includes presenting NSWMSC reports at official meetings throughout the year, including NSWMSC councils, and all AMSA National Councils (both held three times a year).
  • Act as legal Public Officer of the organisation.
  • Maintain and update the NSWMSC Constitution.
  • Review MoUs with external organisations at least every three years.
Desirable attributes: 
  • Strong leadership background/experience. 
  • Exceptional communication skills.
  • Comprehensive understanding of the workings of the NSWMSC.
  • In-depth understanding of current issues affecting medical students, the information surrounding these issues, and the direction of advocacy medical students seek to improve these issues.
  • Strong time-management skills and good time availability throughout the year.
  • Passion, enthusiasm and charisma for serving with diverse bodies of medical students and working with medical leaders. 
Prerequisites: 
  • Must have attended a NSWMSC Council in any capacity throughout the duration thus far of their medical degree – including but not limited to NSWMSC Rep, MedSoc President, proxy role, NSWMSC executive.

VICE PRESIDENT INTERNAL

Roles and responsibilities: 
  • Work closely, alongside President, to support all members of the NSWMSC executive to thrive in their corresponding portfolios and promote their well-being within the role, collaboration, and engagement of others with these portfolios.
  • Strategise alongside President to determines the direction and progress of the organisation throughout the year and in subsequent years. ​
  • Act as a Student Engagement Officer in promoting initiatives that further the aim of NSWMSC to enrich the medical student experience. This would involve passion and creativity, as well as robust collaborations with other members of the executive team, in launching initiatives.

VICE PRESIDENT EXTERNAL

Roles and responsibilities: ​
  • Oversee the wider state advocacy efforts of NSWMSC, including but not limited to the distribution of surveys, and or communication with relevant medical society representatives.
  • Support, alongside the President, the advocacy efforts of Indigenous Students' Representative and International Students' Representative.
  • Effectively engaging with stakeholders; maintaining and developing new and existing relationships, and attend stakeholder meetings and events with the President as invited.
  • Work closely with the President in drafting and distributing NSWMSC media releases, position statements, and advocacy updates. 
  • Assist the President in managing the Internship Applicant Support Page and answering any internship-related queries.
  • To at all times strive to ensure advocacy is representative of the students NSWMSC represents and informed by the insights of NSWMSC council and other effective sources of information gathering.

SECRETARY

Roles and responsibilities: 
  • Organise and minute regular fortnightly Executive meetings both in-person and via videoconference.

  • Correspond with Medical Student Council Representatives from each of the NSW and the ACT's universities and engender a sense of inter-communication and collaboration. 
  • Organise the selection and ordering of all society merchandise.

  • Actively respond to enquiries and concerns of students, organisations, and companies.
  • Organise the election of incoming Executive members at the end of the year.

TREASURER

Roles and responsibilities: 
  • Keep financial records of all transactions made by NSWMSC.
  • Issue invoices for all revenue raised.
  • Ensure insurance of NSWMSC is up to date.
  • Work together with IT Officer to ensure that ticket sales run smoothly.
  • Ensure that all refund transactions are done in due time.
  • Create a budget at the start of the year to forecast revenue spent/made.
  • Work to set target revenue with Sponsorship Officer.
  • Submit a financial report according to Fair Trading NSW.
  • Coordinate prompt refunds for any spending on Council Meetings, events or other such allocated expenditures.
  • Manage merchandise, including spending and inventory.
  • Liaise with legislative bodies on business listing details (Australian Business Registry, Australia Securities & Investments Commission, Fair Trading NSW).
  • Attend and enthusiastically contribute to regular fortnightly NSWMSC executive meetings as well as other operations of the organisation.

SPONSORSHIP OFFICER

Roles and responsibilities: 
  • Develop and distribute the NSWMSC Partnership Prospectus, working alongside Publications Officer.
  • Proactively engage with sponsors. Establish relationships with new sponsors while maintaining relationships with existing sponsors.
  • Work with the other NSWMSC executives to develop/improve partnership opportunities for sponsors.
  • Work together with the NSWMSC Executive members to collaboratively organise, promote and run NSWMSC initiatives.
  • Organise sponsored social media posts with Publications Officer, or Events Officers if relevant.

Roles and responsibilities: 
  • Oversee NSWMSC events, including but not limited to: Research in Medicine Symposium, Journeys in Medicine Symposium, Cocktail Party, NSW Emergency Medical Challenge, Mental Health Breakfast & Sports Day. 
  • Play a major role with regards to event organisation, including venue booking, sourcing speakers, equipment hire, advertising, financial planning (with Treasurer), logistical planning & volunteer coordination.
  • Coordinate regular meetings with event directors representatives from medical schools across NSW and the ACT in an effort to foster a spirit of collaboration and creativity of events across the two states.
  • Working closely in conjunction with other NSWMSC executives for event promotion.
  • If appropriate, elect and oversee an event subcommittee.

INTERNATIONAL STUDENTS' REPRESENTATIVE

  • Coordinate regular meetings with international representatives from medical schools across NSW and the ACT.
  • Liaise with educational agency and partners such as medical international groups (Eg. SMSANZ, MMI, HKMSA and more), as well as International Students Network, the international students’ branch of Australian Medical Students’ Association - AMSA. 
  • Be familiarise with latest developments on international medical student issues. 
  • Foster community engagement among international students in NSW, such as continuation of the NSW ISG Facebook group page and the international students’ mentorship program.
  • Work with other executive members to facilitate international student internship events, develop the internship guidebook and attend HETI meetings as a representative of NSW international medical students.
  • Take initiative to create events or initiatives that will enrich the medical school experience of international students.
  • Actively respond to enquiries and concerns of international medical students.

​INDIGENOUS STUDENTS' REPRESENTATIVE

Roles and responsibilities: 
  • Representing the interests of Indigenous Medical students in New South Wales and the ACT.
  • Advocating for Indigenous Medical students in New South Wales in regards to numerous concerns that they may have, including but not limited to: safety, institutionalized racism and support services.
  • Facilitating the voices of Indigenous Medical students through the Advocating for Indigenous issues including “closing the Gap”, NSW Indigenous health curriculum in medical schools, cultural competency of Medical schools and various issues Indigenous Medical students face.
  • Liaising with AIDA (Australian Indigenous Doctors Association) SRC members in NSW.
  • Contributing to advocacy efforts of NSWMSC regarding Indigenous issues with consultation of wider Indigenous community, AIDA and their members.
  • Implementation of relevant and Indigenous focused events e.g. NAIDOC Week.
  • Linking up the NSWMSC with an elder of the Eora Nation for a Welcome to country for events that NSWMSC hold on Eora land (Sydney).
  • Signify the importance of an acknowledgement of country to other NSWMSC executive members and council.
  • Attend and enthusiastically contribute to regular fortnightly NSWMSC executive meetings as well as other operations of the organisation.

PUBLICATIONS OFFICER

Roles and responsibilities: 
  • Be responsible for the creative vision and execution of various NSWMSC publications, for example a monthly newsletter, long form publication (RUBIX) both in an editorial role to collect publishable materials as well as to manage its design. This includes liaising with medical societies and students across NSW (and ACT) as well as executive members to produce engaging content.
  • Be responsible, in working with other executive members, namly VPi, to enhance social media presence (Facebook and Instagram) through creative initiatives such as “Feature Fridays”, as well as the upkeep of the NSWMSC public pages. 
  • Produce, alongside other executive members official documents including the sponsorship prospectus. 
  • Work with Events Directors to develop promotional material for events throughout the year, including but not limited to Journeys in Medicine Symposium, Research in Medicine Symposium, Cocktail Party, Sports Day, Mental Health Campaigns etc. 
  • Work together with the NSWMSC Executive members to collaboratively organise, promote and run other NSWMSC initiatives. 
  • Attend and enthusiastically contribute to regular fortnightly NSWMSC executive meetings as well as other operations of the organisation.
  • Attend and contribute as well as update Council Members at NSWMSC Council held three times a year.
Desirable attributes: 
  • Creativity and a passion for the role.
  • Experience in design or social media promotion desirable but not necessary.

IT OFFICER

Roles and responsibilities: 
  • Maintain and oversee the NSWMSC website, Internforum website, domain name and hosting accounts.
  • Throughout the year, continually update, improve and extend the NSWMSC website, including liaising with the executive team and creating additional resources for students.
  • Set up email communication for NSWMSC Executive Members.
  • Liaise with the Secretary to ensure that Council meeting minutes are obtained for inclusion on the website.
  • Liaise with the Sponsorship Officer to include that sponsorship content are updated on the website.
  • Liaise with Publications Officer to ensure all publications are promptly shared onto the website.
  • Attend and enthusiastically contribute to regular fortnightly NSWMSC executive meetings as well as other operations of the organisation.

  • Familiarity and confidence using and troubleshooting IT systems.
  • Experience using website builders (NSWMSC uses Weebly, very similar to creating documents in Microsoft Word).
  • Familiarity with social media and ways to maximise user engagement.
  • Good availability at short notice to help troubleshoot IT problems.
  • Ability to communicate effectively with other team members.
